Cash & Credit Card Policy

Policy Name: Cash & Credit Card Acceptance Policy
Policy Code: XC-NV-FIN-004
Effective Date: August 1, 2026


Applicability: All e-commerce, brick-and-mortar, and pop-up retail operations for Xango Creation within the State of Nevada.


1. Multi-Channel Payment Acceptance GuidelinesXango Creation accepts various payment methods across different sales channels using our integrated Shopify POS, Square, or Clover hardware setups.


Cash Transactions

  • Permitted Channels: Brick-and-mortar boutique and temporary pop-up markets only.
  • Prohibited Channels: Strictly prohibited for all e-commerce transactions.
  • Counterfeit Protection: Employees must inspect all $20, $50, and $100 bills using UV counterfeit detector pens before acceptance.
  • Nevada Compliance: Cash handling must align with standard cash register reconciliation under Nevada retail accounting guidelines.


Credit, Debit & EMV Chip Cards

  • Permitted Channels: E-commerce, boutique storefront, and pop-up events.
  • Hardware Rule: All physical card transactions must go through EMV chip card readers to leverage the EMV fraud liability shift.
  • Swiping Restriction: Magnetic stripe swiping is restricted to damaged chips only and requires a supervisor’s approval.


Contactless Payments (Apple Pay, Google Pay, Tap-to-Pay)

  • Permitted Channels: Allowed across all face-to-face boutique and pop-up channels.
  • Security Validation: No additional ID is required for digital wallet taps, as biometric authentication (FaceID/Fingerprint) acts as the cardholder validation method.
  • Device Limit: Transactions exceeding $5 via contactless smartphone apps require an electronic signature on the POS terminal screen.


2. Buy Online, Pick Up In-Store (BOPIS) Security Protocol

BOPIS transactions introduce unique "Card-Not-Present" (CNP) chargeback risks because the payment is processed online before physical handover.


Mandatory Verification Steps

  1. Government-Issued Photo ID: Match the customer's physical photo ID against the billing name on the online Shopify/Square invoice.
  2. The Original Payment Card: Verify that the last 4 digits of the physical card match the digital order invoice.
  3. Signed Confirmation: The customer must sign a physical or digital "BOPIS Handover Receipt" acknowledging collection of the specific items.


Proxy Pickups

  • Customers must email customer support ahead of time to authorize a third-party pickup name.
  • The authorized proxy must show a valid photo ID matching the updated order notes.


3. Chargeback Mitigation & Dispute Resolution

To protect Xango Creation from fraudulent claims, administrative errors, and friendly fraud, the following protocols must be followed strictly.

Preventive Measures

  • Clear Descriptor: Ensure our merchant descriptor appears explicitly on customer bank statements as XANGO*CREATION.
  • Refund Uniformity: Process all returns directly back to the original form of payment. Cash refunds for credit card purchases are completely prohibited.


Dispute Evidence Checklist

When fighting a chargeback, the Store Manager must compile and submit the following evidence via the payment processor within 5 business days:

  • For E-Commerce: Documented AVS (Address Verification System) matches, CVV verification, and carrier tracking delivery confirmation.
  • For Boutique / Pop-ups: EMV chip insert confirmation timestamps and customer signatures.
  • For BOPIS: The signed pickup log combined with the photo ID verification timestamp note in the POS system.


4. Compliance, Privacy & Data SecurityPCI-DSS Compliance

  • Never write down, type, or store credit card numbers, CVV codes, or cardholder pin numbers on paper or in external digital text documents.
  • All employee POS login credentials must be unique and utilize multi-factor authentication where supported by hardware.


Nevada State Law Alignment

  • This policy strictly adheres to NRS Chapter 597 (Nevada Commerce Regulations), ensuring fair credit card processing choices.
  • All data breaches or suspected customer payment leaks must be reported within 30 days to the Nevada Attorney General to comply with Nevada's personal data privacy laws.
